The principle

No two agencies recruit the same way

One gets an engagement letter signed before sourcing, another presents three profiles within forty-eight hours. One invoices on success, another monthly on a day rate. One wants every consultant to see everything, another separates by office. Software that imposes a single path forces someone to work alongside it, in a spreadsheet.

In Nicoka CABS, those rules are described in the configuration: stages, statuses, workflows, access profiles, notifications, templates. With no bespoke development, and without waiting for the next release.

  • Your stages, your statuses : the recruitment process follows your method, not an imposed template.
  • Who sees what : access profiles, teams, entities, approvers defined by role.
  • What goes out on its own : notifications, emails and documents triggered at the right moment.
How it works

Four settings, and the tool speaks your language

Our teams support you at launch, then you stay self-sufficient.

1

Describe your stages

The recruitment process, its statuses, their colour, and the ones that block new applications from arriving.

2

Set your workflows

Sales cycle, invoicing cycle, approval chains resolved by role rather than by person.

3

Open the right access

Staff, teams, entities and access profiles: everyone sees what concerns them, and nothing more.

4

Report on it

Predefined reports or ones you build yourself, placed in your dashboards, exportable when you need it.

Stage 01

Your recruitment process, written in your own words

The stages, their order and their statuses are defined in the configuration. A status can carry a colour, act as a default, and block new applications when the role should stop receiving them.

  • Your stages : qualification, client presentation, interview, offer, onboarding, on your terms.
  • Your statuses : label, colour, default status, active or not.
  • Useful rules : a status can block new applications on the role.
  • Several processes : volume recruitment and executive search do not follow the same path.

Stage 04

Your indicators, not those of a generic dashboard

Nicoka CABS provides ready-made reports, and lets you build your own. You place them in your dashboards, you choose who sees them, and you export when the meeting calls for it.

  • Predefined reports : activity, candidates, sources, interviews, revenue.
  • Custom reports : your entities, your filters, your groupings.
  • Visibility under control : a report can be open to everyone or reserved for one team.
  • Spreadsheet export : for one-off analysis and board meetings.

What configuration gives you

A tool that follows your method, including when it changes

Six settings that prevent parallel files and awkward reminders.

A recruitment process on your terms

Your stages, your statuses, your blocking rules. The consultant follows the path you defined, not a vendor's.

  • Configurable stages and statuses
  • A status that blocks applications
  • Several processes by type of assignment

Sales and invoicing workflows

The sales cycle and the invoicing cycle follow your rules, with the approvals you expect before a document goes out.

  • Opportunity stages
  • Approval chains
  • Approver resolved by role

Everyone sees what concerns them

Access profiles, teams and entities describe who reads, who edits and who approves. Useful as soon as there are several offices or several brands.

  • Access profiles
  • Teams and managers
  • Separation by entity

The right people notified

An application received, a quote signed, a deadline coming up: the notification goes out without anyone having to think about it.

  • Notification strategy
  • Recipients by role
  • Triggered events

Your templates, your layout

Contracts, engagement letters, interview notes, emails: the templates carry your identity and your legal wording, for the whole agency.

  • Document templates
  • Email templates
  • Generated from the record

The reporting that goes with it

Predefined reports, reports you build yourself, dashboards by profile and spreadsheet export when you need to go further.

  • Custom reports
  • Dashboards
  • Spreadsheet export

Frequently asked questions

What we get asked about configuring Nicoka CABS

Do you need a developer to configure the tool?
No. Stages, statuses, workflows, access profiles, notifications and templates are all set from the configuration screen. Our teams support you at launch, then you stay self-sufficient.
Can we have several recruitment processes?
Yes. Volume recruitment and an executive search assignment do not follow the same path: you define the stages specific to each type of assignment.
Can we limit what consultants see?
Yes. Access profiles describe who reads, who edits and who approves, and separation by team or by entity lets you keep several offices or several brands apart.
Can the reports be customised?
Yes. You get predefined reports and you can build your own, place them in your dashboards, choose who sees them and export the data in spreadsheet format.
Can a process be changed once the tool is live?
Yes. The configuration changes when your organisation changes: adding a stage, altering an approval chain or setting up a new team does not call for a technical project.
Is configuration included in the subscription?
Yes. It is part of Nicoka CABS, alongside the ATS, the CRM, sales and AI, at 130 euros per month per user. You can try it for 14 days, with no credit card.

Configuring a recruitment software: what has to stay in your hands

Choosing an ATS is rarely decided on the feature list. It is decided on a simpler question: after six months, was it the tool that adapted to the agency, or the agency that adapted to the tool? The answer lies in what the configuration allows without going through bespoke development.

The tell-tale sign: the parallel file

When a stage of the process does not exist in the software, it does not disappear: it moves into a spreadsheet, a chat channel, or a consultant's head. Tracking becomes partial, the indicators become wrong, and nobody notices until the first serious review. A tool that accepts your stages, your statuses and your rules stops that leak.

Processes, rights, triggers

Three families of settings make the difference day to day. First the processes : the stages of application tracking, the sales stages of opportunities and the invoicingcycle, each with its statuses. Then the rights : access profiles, teams, entities, approvers resolved by role rather than named one by one, which spares you reworking everything the first time someone leaves. And finally the triggers : notifications, emails and documents generated at the right moment, from your templates.

Reporting comes after, not before

A dashboard is only worth something if the data it shows comes from real work. Once the process is described in the tool, the reports and the dashboards become usable: activity by consultant, application sources, lead times, revenue by client. You use the reports provided or build your own, with the visibility you choose and spreadsheet export for one-off analysis.

Multi-office, multi-brand, multi-country

As soon as an agency opens a second office or launches a specialist brand, the question of separation arrives: who sees the other office's candidates, who reaches the client accounts, how to consolidate without mixing everything together. Entities, teams and access profiles answer that within a single tool, without duplicating databases or subscriptions.

What to take away

  • A process missing from the software moves back into a spreadsheet, and the indicators become wrong.
  • Stages and statuses must be describable without bespoke development.
  • Rights are thought through by role and by entity, not person by person.
  • Notifications and templates prevent oversights and standardise the agency's documents.
  • A configuration that evolves beats a configuration that was perfect on day one.
