Publish once, receive everywhere
One job ad written, one publication, one record of replies. You track your postings without opening each job board.

- Career site in your brand colours
- Live tracking of postings
Managing applications does not stop when the CVs land. Between the published job ad and the placed candidate there is screening, interviews, a shortlist to get approved, a decision to record and an invoice to issue.
Nicoka CABS holds that chain end to end. The candidate, the assignment and the client account share the same data: you re-enter nothing, and you lose nothing along the way.
Every application follows the same thread: it arrives, it is analysed, it progresses, it is shared, it is approved.
The job ad goes out to your job boards and your career site. The replies come back into the assignment record.
CVs are analysed on arrival, matched against the skills expected, and rated by your team.
Each candidate moves through your stages. Messages and tasks fire on their own.
The shortlist goes out as a secure link. The client reviews it, comments and gives a verdict online.
The decision is recorded, the offer signed, the placement invoiced, without leaving the tool.
Every CV is analysed the moment it arrives: experience, skills, contact details. You compare profiles against the criteria of the assignment instead of re-reading a hundred documents.
Example record. Fictional data.
Your stages carry your names and your rules. A candidate changes stage by drag and drop, and everything that should follow fires: message, task, client notification.
Example process, fully configurable. Fictional data.
Present your candidates in a dedicated space rather than as an email attachment. Your client opens a secure link, reviews the profiles and leaves feedback. Their replies come back into the record, time-stamped.
Nicoka CABS client portal. Fictional data.
Every stage of the journey removes a task you used to do by hand.
One job ad written, one publication, one record of replies. You track your postings without opening each job board.
Applications arrive already qualified: skills extracted, matched against the job ad, rated by the whole team.
Your stages, your forms, your access rights. What should fire, fires, with no development work.
The shortlist goes out as one link. The client reviews, comments and decides, and it all comes back into the candidate record.
Approval opens what follows: offer signed, assignment attached to the client account, placement invoiced.
You choose who sees what, and when, and you keep a trace of every share and every decision.
Recruitment agencies, IT services firms, staffing agencies and HR departments run their applications in Nicoka CABS.

One single process rolls out across several countries, several brands and several teams.
Everything we get asked about managing applications in Nicoka CABS
In a recruitment agency, an application is never an isolated event. It arrives from a job board, a career site or a direct approach; it goes through screening, exchanges, one or more interviews; then it is presented to a client who decides. Between the first CV and the invoiced placement, a single assignment can involve several consultants, several tools and dozens of emails. That is where the time goes, and sometimes the candidate too.
The first problem is not a shortage of candidates, it is their scattering. Replies land in different mailboxes, sourced profiles live in a spreadsheet, CVs travel as attachments. Centralising applications in a recruitment software means, above all, guaranteeing that an application received is an application handled: one record per person, attached to the assignment, enriched automatically from the CV, with no duplicate even if the same profile applies twice through two different channels.
With Nicoka CABS, multiposting covers more than 130 partner job boards, your career site collects direct applications, and sourcing feeds the same talent pool. Speculative applications and imported profiles join the same database. You no longer run a collection of tools, you run one flow.
On an attractive role, volume becomes a trap: the more applications there are, the less time you have for each one, and the higher the risk of dropping a good profile.Automatic CV analysis extracts experience, skills and contact details on arrival. Matching against the job ad shows a percentage per profile, calculated on the level of skill the role expects. Star ratings and shared scorecards then let the team decide together, on criteria everyone can see.
Natural-language search completes the picture: describe the profile you are looking for as you would to a colleague, and Ada finds the matching candidates in your talent pool, including those you met on an earlier assignment.
No two agencies recruit alike. An executive search firm does not follow the same stages as a temporary staffing agency, or as an IT services firm placing consultants on client site. That is why recruitment processes are fully configurable: you define your stages, their order, the information required to move from one to the next, and the rejection reasons specific to each.
Sequences take over the repetitive tasks: an acknowledgement on entering the first stage, an invitation when an interview is booked, a follow-up if a candidate sits too long without an answer. Workflows and access profiles make sure that everyone involved, consultant, manager or assistant, sees and does what concerns them.
Presenting candidates remains the most sensitive moment of an assignment. Sending three CVs as attachments, waiting for a reply, chasing, consolidating feedback received by email: it is slow and nothing is recorded. Secure-link candidate sharing and the client portal turn that around. The client opens a link, reviews a shortlist laid out properly, rates and comments on each profile, and their decision goes straight back into the candidate record.
The portal is configurable stage by stage: you choose from when a candidate becomes visible and which information is shown.CV anonymisation lets you present skills first, which limits bias at the start of the process and protects the handling of personal data.
Once the candidate is approved, the agency's work is not over: there is still the offer, the contract, then invoicing the placement. Many teams switch to another piece of software at that point, with fresh data entry and a risk of drift between what was sold and what is invoiced. Nicoka CABS brings the ATS, the CRM, sales and AI together in one suite: the assignment is attached to the client account, electronic signature is triggered from the record, and invoicing picks up the details of the assignment.
On the reporting side, reports on progress and conversion rates show where applications actually stall: at first contact, at interview, or at the moment of the client's decision. That reading is what lets you adjust a process, calibrate a job ad better, and explain to a client why an assignment takes the time it takes.
